Party Hire Terms and Conditions

These Terms & Conditions apply to all bookings, hires and collections supplied by Lewisham Toy Library (“we,” “us,” or “our”). By placing a booking and paying a deposit, you (“you” or “Customer”) agree to these Terms.

1. Booking and payment

A booking is confirmed only when we issue written confirmation and receive full payment (the party hire amount plus the required deposit of £100).

• Prices and any other mandatory charges (including the deposit) will be shown before payment.

2. Hire period

The hire period is 5 days. It begins when items are collected or made available to you, and ends when they are returned to us.

• Equipment will be ready for collection at the agreed time and location.
• If you return items late, a late fee will be deducted from your deposit as set out in clause 6.

3. Access and collection

You can collect your items from Lewisham Toy Library, Unit 46, Lewisham Shopping Centre, SE13 7EP, at the time you chose when booking. Please bear in mind that some items are big and bulky, and we will not be able to provide an extra pair of hands.

4. Use of hired items

Items must be used only for their intended purpose, in accordance with any instructions we provide.

• All our soft play items are designed for indoor use. If you wish to use them outdoors, please take extra care and make sure they are clean when returned.
• You must not alter, repair, sub-hire, move to another location, misuse or overload the items, or allow unauthorised persons to use them.
• You are responsible for ensuring that the venue, ground conditions, power supply, weather protection, supervision and use of the items are suitable and safe.
• Any children’s equipment must be supervised by a responsible adult at all times and used in line with the manufacturer’s instructions.

5. Safety and venue requirements

You are responsible for obtaining any permissions, licences, venue approvals or permits needed for your event.

6. Delays, damage, loss and cleaning

You are responsible for returning the items on time and in the condition in which they were hired out to you. Your deposit will be withheld if any of the following apply:

• An item is returned after the agreed return date: 50% of the booking value per day late.
• An item is returned dirty: £30.
• An item is damaged: the cost of a replacement.
• An item is lost: the full deposit, unless a replacement is provided.

7. Cancellations and changes

Cancellation requests must be made in writing to partyhire@lewishamtoylibrary.org.uk.

• If you cancel more than 5 working days before the event, we will refund the full amount of your booking.
• If you cancel fewer than 5 working days before the event, on the event date, or after collecting the items, we will refund only your deposit.
• Changes are subject to availability and may change the price.
• If we must cancel because the requested items are unavailable or cannot safely be supplied, our liability is limited to refunding payments received for the affected items or providing a mutually agreed alternative.

8. Weather and events outside our control

We are not liable for delay, non-performance or additional costs caused by events beyond our reasonable control, including severe weather, flooding, road closures, accidents, power failures, supplier failures, strikes, public-health restrictions or venue closure. Where practical, we will work with you to reschedule or provide a credit, subject to availability and costs already incurred.

9. Liability

You are responsible for claims, losses or damage arising from your misuse of the items, failure to follow instructions, unsafe site conditions, or breach of these Terms.

10. Privacy

We use personal information only to manage bookings, payments, customer service and legal obligations.

11. General

If any part of these Terms is unenforceable, the rest remains effective.

• We may update these Terms from time to time; the version in force when you make a booking applies to that booking.
• These Terms, your booking confirmation and any written quotation form the agreement between you and us.
